HostPepper, LLC – Termination, Cancellation, and Refund Policy

This Termination, Cancellation, and Refund Policy (“Policy”) sets forth the terms and conditions under which Customers (also identified herein as “you,” “your”) may terminate or cancel services provided by HostPepper, LLC (“HostPepper,” “we,” “us,” or “our”), and explains the corresponding rights and limitations relating to refunds. This Policy applies to all services offered by HostPepper, including but not limited to web hosting, email hosting, virtual private servers (VPS), cloud storage, DNS management, domain-related services, and all associated service packages, add-ons, or administrative support. This Policy is incorporated into and made a part of HostPepper’s Terms of Service and Hosting Services Agreement. By using HostPepper services, you expressly agree to be bound by the terms and procedures outlined herein.

Upon the purchase of a new Annual Plan, you will have thirty (30) calendar days from the date of initial purchase to cancel and receive a full refund, provided that a written cancellation request is submitted and received by HostPepper within that 30-day window. Similarly, Customers purchasing new Monthly Plans have forty-eight (48) hours from the date of initial purchase to cancel and receive a full refund. These cancellation grace periods apply only to the initial purchase of the respective plan type and do not apply to renewals, upgrades, add-on services, or changes to billing cycles. After expiration of the applicable grace period, the refund rights set forth herein shall apply, and no refund or proration of Monthly Plans will be provided under any circumstances.

Customers who cancel Annual Plans beyond the 30-day purchase window must provide written notice of termination at least thirty (30) calendar days in advance of the desired effective termination date. Such termination notice must be submitted via the official support channels listed in your HostPepper account or by email with confirmation of receipt. Merely disabling auto- renewal does not constitute proper notice of termination. Services will remain active and billable through the end of the 30-day notice period unless HostPepper waives or shortens the notice requirement in writing.

All HostPepper services (including web hosting, email hosting, VPS, cloud storage, and DNS) remain fully active and billable during any applicable 30-day termination notice period. You are solely responsible for backing up or exporting all content, email data, DNS records, site files, and databases before the effective termination date. Following the end of the service term or notice period, HostPepper may permanently delete all your data, and we will not be liable for any data loss after such date.

If termination of an Annual Plan occurs after the applicable full refund grace period and proper 30-day notice is given, you will be eligible only for a prorated refund of the unused portion of any prepaid annual term following the 30-day termination notice period. Monthly Plans are not eligible for prorated refunds after the 48-hour cancellation grace period. Once the 48-hour window has passed, no refunds (prorated or otherwise) will be issued for any unused time within a Monthly Plan.

All approved refunds will be processed to the original payment method unless otherwise agreed in writing. Refunds will be issued within ten (10) business days from the later of (a) the effective termination date, or (b) approval by HostPepper’s billing department. Notwithstanding the foregoing, the following fees and services are strictly non-refundable: domain name registrations, renewals, or transfers; SSL certificates (once issued); dedicated IP addresses; DNSSEC services; licensing fees for third-party platforms (e.g., cPanel, DirectAdmin, WHMCS, Plesk); usage-based overages (e.g., excess bandwidth or storage); setup or administrative fees; content migration or onboarding assistance; and custom or professional services. Additionally, refunds will not be issued for any services that are suspended or terminated due to violation of the Acceptable Use Policy, Terms of Service, or applicable law.

This Policy applies fully to all email hosting services, including standard, business, and enterprise- class mailboxes, custom domain email routing, spam protection, and email forwarding. Termination of email hosting requires compliance with either the 30-day full refund window for Annual Plans or the 48-hour full refund window for Monthly Plans. No refund or proration will be provided for email hosting Monthly Plans after the 48-hour grace period. Customers are responsible for downloading or backing up all mail content prior to termination. All email data will be permanently deleted after the effective termination date.

This Policy also governs VPS and cloud hosting services, whether managed or unmanaged. Proper termination of VPS or cloud services is subject to the same refund grace periods (30 days for Annual Plans, 48 hours for Monthly Plans), or to 30-day advance notice for prorated refunds of Annual Plans only. No prorated or partial refund is available for Monthly VPS or cloud hosting plans after the 48-hour grace period, and refunds do not apply to usage-based metrics such as burst traffic or dynamic scaling.

DNS hosting services are subject to the same terms. Customers must export zone files and transfer DNS control before service expiration. HostPepper will not be liable for DNS failures resulting from failure to properly migrate before termination. No refunds or proration apply to Monthly DNS hosting services after 48 hours from purchase. Refunds for DNS services are governed by the same deadlines and notice requirements described above for Monthly and Annual Plans.

HostPepper reserves the right to terminate any Customer’s account at any time, without refund, for cause, including non-payment, breach of contract, abuse, or illegal activity. If HostPepper elects to terminate an account for convenience and not for cause, a prorated refund will be issued for the unused portion of any prepaid Annual Plan only, based on the days remaining after termination. No refund or proration will be given for Monthly Plans following the 48-hour window, even if terminated by HostPepper for convenience.

If HostPepper discontinues or otherwise retires any product or service offering, Customers will be provided at least thirty (30) calendar days’ advance notice. Customers may, during that notice window, migrate to an equivalent service or request a prorated refund for the unused portion of the prepaid Annual Plan after the official service discontinuation date. Monthly Plans are not eligible for any refund after the 48-hour window, including in the case of discontinued service.

All refund decisions are subject to final approval by HostPepper’s billing department. Any invoice disputes or overcharge claims must be submitted within thirty (30) calendar days of the invoice date to be eligible for review. HostPepper may, but is not obligated to, resolve disputes submitted after that deadline.

This Policy, and any dispute, controversy, or claim arising from or relating to it, shall be governed exclusively by the laws of the State of Nevada, without regard to conflict-of-law principles. The exclusive venue and jurisdiction for any legal action or proceeding shall lie in the state or federal courts located in Clark County, Nevada, and by your use of HostPepper’s services, you hereby irrevocably submit to the personal jurisdiction of such courts and unconditionally waive any objection based on venue or forum non conveniens.

This Policy may be amended from time to time by HostPepper, LLC without prior notice to you. You will be notified of any material revisions, and your continued use of HostPepper’s services following such notice will constitute your acceptance of the updated Policy.
